Reservations and Payments for Full Inclusive Tours
There is an advance payment of US $500 per person due within seven days of confirmation of your arrangements. Another 50% of the total cost is due 120 days before departure.  Final payment is due 60 days prior to departure date. If you book within 60 days of departure, the entire cost of your tour is due upon confirmation of your arrangements. Final documents are generally sent between 14 – 21 days prior to departure, provided full payment and a signed personal information form has been received.

Cancellation
In the event of cancellation or variation of services for whatever reasons we shall be entitled to charge cancellation fees as follows:

  • Cancellations received between 40 and 60 days prior to commencement of services shall be charged 20% of the total cost of services.
  • Cancellations received between 15 and 39 days prior to the commencement of services shall be charged 50% of the total cost of services.
  • Cancellations received between five and fourteen days prior to the commencement of services shall be charged 80% of the total cost of services.
  • Cancellations received between four days and day of arrival or after commencement of services shall be charged 100% of Total Cost of tour arrangements.

Included in Tour Prices
Accommodations for the safari are listed in each tour itinerary; however, these accommodations may not always be available, and Across Tanzania Expeditions, reserves the right to provide alternative accommodations of comparable standards. The included meals are specified in each itinerary and are table d’hotel or buffet.
Prices include all entry and park fees, accommodations with meals, transport, hotel taxes and service charges, sightseeing/game drives as specified in each individual itinerary, and services of an English speaking driver guide. Air–inclusive prices in our itineraries include ONLY domestic airfares from and to the destinations specified. These prices are subject to Civil Aviation Board changes and as such are not fixed. 

Not included in Tour prices
Fees for obtaining passport, visas, inoculations; airfare not specifically mentioned as included; excess baggage fees, trip protection coverage, international airport departure taxes, optional tours, any items of a personal nature such as beverages, laundry, phone calls, cables, or room service; excess mileage carried out at the request of the client or any other item not specifically listed in the tour section.

Travel Documents and Health Requirements
All passengers are required to have a passport that is valid for at least the duration of the trip. Passengers should check with the specific embassies or consulates for their visa requirements.
Visa requirements are subject to change without notice and we recommend you check with the appropriate embassy or consulate for current information before departure. Passengers are responsible for ensuring they have the correct visas and documents.

Malaria is endemic to these regions of Africa and precautions must be taken.  We recommend you visit your primary physician or local travel clinic to review any medications or recommended inoculations. Be sure to carry your inoculation certificate with you as proof of inoculations. If you are concerned about taking any medications, check with your physician before you book your trip. 

Children
Children under the age of 12, sharing a room with TWO adults, will be granted a 50% reduction.

Special Tour Condition
Mt Kilimanjaro climb: A non-refundable fee of $100 per person is required to secure a firm booking for the climb.

Insurance
We cannot stress enough the importance of your taking out adequate holiday insurance against cancellation charges, unexpected curtailment of your holiday, medical expenses arising overseas, loss or damage to luggage and personal liability claims against you. Should you elect not to affect suitable travel insurance cover despite this advice, then you undertake on behalf of yourself and all members of your party to indemnify Across Tanzania Expeditions Ltd, for any costs that arise which would otherwise have been met had such insurance coverage been taken out.

Complaints
In the unlikely event that a tour member should have a dispute whilst on safari, the matter must immediately be brought to the attention (and put on record) of the local representative, hotel, lodge or camp management. It is likely that the tour members’ complaint will be satisfactorily resolved immediately.  If, however, this is not the case and the tour member wishes to pursue the matter on their return from safari, it is essential the complaint be communicated in writing to Across Tanzania Expeditions Ltd within 21 days at the end of the tour quoting tour reference, destination and departure, and date. Across Tanzania Expeditions Ltd, cannot accept responsibility of any complaints which are not notified entirely in accordance to this clause.
